The Look Aesthetics Terms and Conditions

Referral Program – “Give $50, Get $50”

1. Program Overview
Our Referral Program is designed to reward both new and existing patients who participate in referring services at The Look Facial Aesthetics.

New Patient Reward: A new patient receives a $50 discount on their first service (minimum spend $250) when they identify an existing patient as the referring party.
Referring Patient Reward: The referring, existing patient receives a $50 reward credit (50 points) toward a future service once the referred new patient completes a qualifying service purchase.

2. How the Program Works

Step 1. At check-in, the new patient must provide the name of the referring existing patient on the New Patient Form.
Step 2. Upon checkout of the new patient’s qualifying service (minimum $250 spend), the $50 discount is applied. The discount reason should be documented as “$50 off – New Patient Referral.”
Step 3. Once the new patient’s qualifying purchase is complete, The Look issues the referring patient’s reward credit (50 points equivalent to $50) and notes the reason “[New patient initials] – Referral credit” in the referring patient’s chart.

3. Redeeming Referral Credit (Reward Points)

The referring patient initiates a new invoice for services.
At payment application, the patient may apply the reward points (50 points = $50) toward the total due.

4. Additional Terms & Limitation

Only new patients (i.e., persons who have not previously received a service at The Look) are eligible for the initial $50 referral discount.
Referral rewards are valid for services only and cannot be applied to retail product purchases.
Referral credits do not expire and may be accumulated for future service use.
The Look reserves the right to verify eligibility and correct any accounting errors.
To protect patient privacy in accordance with HIPAA and applicable regulations, The Look will not disclose whether a specific individual has visited or whether a referral credit has been issued to another patient. If asked, staff will respond:
“I’m unable to confirm that information; however, I can check whether a referral credit is on your account.”

5. Frequently Asked Questions

Is there a limit to the number of people I can refer? No — there is no maximum for the number of eligible referrals. Each new qualifying referral yields a separate $50 credit.
Can I bank multiple referral credits and apply them later? Yes — referral credits may accumulate and be used toward future service visits.
How do I check whether I have a referral credit? Please contact The Look and ask us to check your account; we cannot provide details about other patients.

Product Purchases Discount: During the sale period, receive 20% off retail product purchases (excluding prescription products). Other exclusions and terms may apply.

Bonus Skincare Swag Bags:
Gift card purchases of $1,000 or more are eligible to receive a complimentary skincare swag bag. Swag bags are provided while supplies last and are available for pickup only at The Look Facial Aesthetics clinic. Swag bags must be picked up on or before December 31, 2025. Any swag bags not claimed by this date will be considered forfeited and will no longer be available. The Look makes no guarantees regarding availability, and eligibility for swag bags does not affect the value, terms, or redemption of the associated gift card.

Important Legal & Disclosure Notices:

Gift cards issued by The Look are subject to Tenn. Code Ann. § 47‑18‑127, which prohibits charging issuance fees and dormancy/inactivity fees for two years following issuance, and requires clear disclosure of any expiration or fee terms. Justia Law+2Tennessee Department of Treasury+2

The Look reserves the right to terminate or modify the sale or referral program at any time, in its sole discretion, with or without notice, provided that modifications do not affect the redemption rights of already-issued credits or cards except as permitted by law.

1. Introduction

Welcome to The Look Aesthetics. By accessing or using our website and services, you agree to comply with and be bound by The Look Aesthetics Terms and Conditions outlined below. These terms govern your use of our site, services, and any related offerings provided by The Look Facial Aesthetics, LLC (“we” or “The Look”).

We are committed to protecting your privacy and providing a safe, professional experience. This Terms and Conditions page includes a summary of our privacy practices, booking policies, cancellation terms, and more. 2. Eligibility

Our services are available to individuals who are 18 years of age or older. Select facial treatments are available for younger clients; however, some procedures may require parental consent prior to treatment. Proof of age or a consultation may be required for certain services.

3. Medical Disclaimer

All content provided on our website is for informational purposes only and does not constitute medical advice.
Our services are not a substitute for professional medical evaluation, diagnosis, or treatment.
Results vary per individual, and The Look Aesthetics makes no guarantees regarding treatment outcomes.

4. Appointments and Cancellations

To provide the highest level of care and access for all of our patients, we kindly ask that any cancellations or rescheduling requests be made at least 24 hours in advance.

Cancellations or reschedules with less than 24 hours’ notice will incur a $100 fee.
No-shows (missed appointments without any prior notice) will also be subject to a $100 fee.

A $100 consultation fee is required for all new injectable patients. This fee is non-refundable but may be applied toward treatment if booked and received within 30 days of the consultation.

While we understand that unexpected situations may arise, repeated late cancellations, reschedules, or no-shows may result in the need to secure future appointments with a non-refundable deposit. This deposit can be applied toward services/products if the appointment is kept. However, if the appointment is missed, the deposit will be forfeited, and an additional $100 rescheduling fee will be required to book again.

To ensure a smooth clinic flow and to respect the time of all patients, we ask that you arrive at least 5 minutes before your scheduled appointment.
Patients arriving 10 minutes or more past their appointment time may need to be rescheduled, and a $100 fee will apply.

We appreciate your cooperation and understanding as we work to provide the best experience for every patient we serve.

5. Payment and Refund Policy

Accepted Payment Methods:
We accept major credit cards, debit cards, and Apple Pay. Cash payments are also welcome.

Refunds:
Refunds for services that have already been rendered are not provided under any circumstances. All sales of completed treatments are final.

You may return unopened and unused products in their original packaging within 30 days of purchase for a refund or exchange. If 30 days or more have passed, we unfortunately cannot offer a refund or exchange.

Exceptions to this policy may be made at the discretion of management on a case-by-case basis. If you have questions about a return, please contact us directly.

6. Gift Cards and Promotions

Gift Card Policy:
Our updated gift card system includes two separate cards:

Purchased Gift Card (burgundy): Can be kept on file and used toward any service or product, including those on promotion.
Bonus Gift Card (pink): Issued as a reward for certain gift card purchases. This card is only valid for full-price services and products and must be physically presented at checkout. It cannot be kept on file.

Key Guidelines:

Bonus gift cards cannot be used toward discounted or promotional items.
If both cards are presented at checkout, you may use both in the same transaction—but the bonus card portion will only apply to full-price items.
Bonus gift cards retain remaining balances for future use, but must be brought back physically.
Lost bonus cards cannot be replaced, so please store them securely.
Only one promotional bonus may be applied per transaction.
Purchased gift cards may be used in combination with current discounts and offers.
Tennessee law requires that gift cards do not expire and are fully transferable unless otherwise noted.

Burgundy Bonus Cards:
You may have received a Burgundy Bonus Card through a partner business, local event, or community outreach initiative. These cards are valid toward the purchase of full-price products or services at The Look Aesthetics. Please note the following restrictions:

Not valid for online purchases.
Cannot be combined with other promotions, discounts, or special pricing.
Restrictions may apply to certain treatments.
No cash value. Non-transferable.

Additional Offer Policy:
On the day of treatment, patients may receive 20% off one non-prescription product. This cannot be combined with other discounts or bonus card usage.

7. Cell Phone Usage

To preserve the confidentiality and comfort of all patients, cell phone use is not allowed in the reception area or treatment rooms. This includes making calls, taking photos, videos, or recordings of any kind. We appreciate your cooperation in maintaining a peaceful and private environment.

8. Smoking Policy

Smoking is not permitted inside our facility or anywhere on the property. We kindly ask that all patients and visitors respect this policy to maintain a clean and safe environment for everyone.

9. Privacy Policy

We are committed to protecting your personal data. Information collected through our website or in-office visits is used strictly for appointment booking, communication, and improving your experience with The Look Aesthetics. For full details, please view our Privacy Policy.

10. Intellectual Property

All content on this website—including but not limited to text, logos, graphics, photography, and videos—is the property of The Look Aesthetics and is protected under copyright, trademark, and intellectual property laws.
